Terms & Conditions – Vacation Rental Agreement

M Vacation Properties & Resorts

Reservation Requirements: Guests making the reservation(s) must be at least 21 years of age, must be able to show proof of age at any time during stay, and agree to the Terms and Conditions of the prospective M Vacation Properties & Resorts Rental Agreement. M Vacation Properties & Resorts reserves the right to refuse service to any person or party.

Vacation Rentals

A 25% non-refundable reservation deposit is required and will be applied to the total amount due. The final payment is due 60 days before your arrival date and is non-refundable at that point. The final payment will be billed to your credit card on file unless other payment arrangements have been made. Please note if the 60-day final payment falls on a Saturday, Sunday, or a holiday it may be charged the last business day prior to your final payment date.

Forms of Payment: Visa, Master Card, Discover, Check, Money Order, Electronic Check, and American Express

Confirmation: You will receive your reservation confirmation via email. Should you prefer another method, please let us know. We know that mistakes can happen, so please be sure that you verify the accuracy of the reservation when you receive your confirmation. Any errors must be directed to Red River Real Estate within 3 days of booking. After 3 days then the reservation information will be considered correct and no changes will be made. Any changes to your reservation after 3 days are made at Red River Real Estate’s discretion. Upon approval, a $50.00 change of property fee/change of date’s fee will be applied to your reservation

Day of Arrival: Check-in is 3 PM and later the first day of occupancy. However, we cannot guarantee a 3 PM check-in during our busy peak seasons. You will need to check-in at our office at 420 E Main St, where we will go over our house policies and you’ll receive keys.
*DO NOT attempt to access your vacation rental before being notified that the unit is ready for check-in. We also request that you do not park outside of the unit while you wait as it impedes our ability to prepare the unit for check-in. Early access without manager approval will result in a penalty charge of $200 to your card on file.
*All keys obtained from Red River Real Estate must be returned or a $20.00 replacement fee will be charged per key.
*A valid credit card must be provided at the time of check-in to hold for any damages beyond what our damage protection insurance covers (please see Damage Protection Insurance paragraph for more information) or for missing property that may occur during your stay. Each property is inspected prior to arrival and once again after your departure.

Late Arrivals: If you will be arriving after 5 PM, call us at 1-800-453-3498 to notify us of your late arrival and for our after-hours procedures.

Early Check-In: Due to our Quality Control Procedures that we implement with each property on the day of our guests’ arrival, there is no check in’s before 1 PM without prior arrangements being made with our Guest Relations Department. If these arrangements are made, there will be an additional charge of ½ nights rent added to your reservation. Our check-in time is 3 PM or later.
However, if we are able to accommodate you and your party between 1 PM and 3 PM we will make every effort to do so. *We do not guarantee to check in time at 3 PM during our busy Peak Seasons.

Day of Departure: Check-out time is on or before 10 AM on the final day of occupancy. Please lock up the house and return the keys to our office at the front desk or if you leave before 8 AM, keys can be placed in the drop box located on our front porch.

*Please be aware that there are no refunds for early departures.

Late Check-Out: Please know that it is our desire to try and accommodate your needs when possible. If you need to have a late checkout, please schedule with our Guest Relations Department. There will be a late checkout fee of 1/2 nights rent added to your reservation.

Vacation Home Cancellation Policy(Deposit Required):

• The 25% Rental Deposit is Non-Refundable.
• Cancellations must be confirmed in writing.
• Cancellations made within 60 days of arrival will result in loss of all monies. We recommend selecting our Travel Guarantee, which covers a number of reasons why you might need to cancel and provides a full refund (minus the Travel Guarantee amount).
• Any reservation that has been canceled and reinstated is subject to a $50 reinstatement fee, to be charged at the time of reinstatement.

Resort Unit Cancellation Policy(No Deposit):

•Cancellations more than 7 days before arrival will result in no charge at all.
•Cancellations made within 7 days of arrival will result in the charge of 1 nights rent to the card on file.

*There are no refunds for early departures. Our Travel Guarantee is strongly recommended. Don’t let an emergency cause you hardship on your trip.

Travel/Trip Interruption Guarantee: M Vacation Properties & Resorts Travel Guarantee is available through M Vacation Properties & Resorts, for select vacation rental homes that require an initial deposit. The guarantee covers cancellation or interruption of your stay. In case of any unforeseen events, this Guarantee helps protect your vacation investment (Please review our Cancellation Policy). For questions concerning the Travel Guarantee or to make a claim due to a cancellation, please call Red River Real Estate at 1-800-453-3498. The Travel Guarantee is 12% of the reservation and would cover you for any reason you need to cancel.

Damage Waiver: This is a Vacation Rental Damage Protection Plan: This Vacation Rental Damage plan will be included in your reservation and covers unintentional damages to the rental unit interior/exterior that occur during your stay, provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of $500. Any damages that exceed $500 will be charged to the credit card on file.

Cleaning Fee: Our Cleaning Staff is independent contractors that work for Red River Real Estate. A cleaning fee will be added to all reservations, the fee varies depending on the size of the property. This is applied for cleaning and laundry services upon departure. To avoid an extra cleaning charge please wash the dishes and leave the property in a neat and orderly condition and all trash is taken out. Our contracting companies will charge us an extra fee of $100 if these things are left for them to do upon departure and we will pass this fee back to our guests on the credit card on file.

Pet Policy: Most of our homes are not pet-friendly homes. We have select units that do welcome pets. All pets must be authorized prior to bring them. If a pet is brought to the premises of a unit that does not allow pets, there will be a $500.00 pet fee per pet charged to the credit card on file, as well as cleaning and/or repair charges and immediate eviction with no refund.

Guests bringing pets to a pet-friendly property must declare all pets that will be in the unit. There is a $75 non-refundable pet fee per pet with a 2-pet limit. Pets must be well behaved and kenneled while guests are out of the unit. Please clean up the yard after your pet so it makes the next stay more pleasant. If we have to clean up after your pet, then there will be a $100 fee charged to the card on file.

Smoking Policy: No Smoking is allowed in any of our properties at any time! Smoking is permitted outside and away from the home. Please dispose of cigarette butts in the proper location. Should there be any smoking detected in the cabin, there will be a $500.00 fine charged to the credit card on file.

Occupancy: Our homes are set with the occupancy that we deem suitable for this home. Occupancy may not exceed what is posted for each home. Maximum occupancy includes infants and children. We do not permit the use of air mattresses, cots, or other temporary sleeping arrangements in the units. Bringing more than the occupancy allows will result in possible removal from the property with forfeiture of all monies paid.

Firewood: As a courtesy to our winter guests a ration of firewood has been provided at the home upon check-in, additional wood may be purchased through our office if you should run out; during the summer months wood is not provided to any of our homes, however, if you would like to purchase some wood for your stay, please contact our office for more information.

Specials: Specials and discounts are offered on our website. Specials are subject to change without notice. You must mention the special at the time of booking for it to be valid. We will not be able to add discounts or special offers after the transaction has taken place.

Conduct: All Guests are responsible for the home that they are occupying. Red River Real Estate is acting as the agent on behalf of each individual homeowner and we ask that you treat each property, its furnishings, and its exterior surroundings with the utmost respect.
• House parties are not allowed and will not be tolerated.
• No firearms or fireworks will be discharged on any property.
• Respect for surrounding neighbors’ privacy by not trespassing on their property unless
specifically invited, as well as keeping music, voices, and any said noises to a reasonable level
as not to disturb anyone.

Proper Transportation: Some of our properties do require snow chains or 4-wheel drive because of location and precipitation. Please prepare accordingly or you may find you and your guests without access to transportation. Red River Real Estate makes every effort to ensure accessibility to each home; however, any attempt does not forfeit the need for snow chains or 4 wheel drive.

RV’s: In accordance with the ordinances of the towns we operate in, no RV parking is allowed on any of our properties. There are several RV parks for your convenience. If any RV parking is found at any of our homes, you will be asked to remove the RV immediately. Please help us comply with our towns by parking any RV’s at the proper locations.

Right of Entry: It is not our desire to disturb guests during their stay; however, understand situations occur that may require entry to the property. Therefore; guests acknowledge, understand, and agree that M Vacation Properties & Resorts reserves the right to enter the property at any time to investigate disturbances, check occupancy, check damages, make repairs, alterations and improvements, as we deem necessary.

Terminations and substitutions: M Vacation Properties & Resorts strive to provide you the home of your choice. However, there are times that unforeseeable events may arise that cause changes to be made that are out of our control. This may include the sale of a property, a property no longer offered in our rental options, mechanical failures, or frozen water lines to mention a few. If a situation occurs that makes the home uninhabitable M Vacation Properties & Resorts reserves the right to move a guest to an unoccupied property. This does not result in a credit or a refund. We will make every attempt to provide property comparable to what you originally rented.

Repairs and Service Calls: M Vacation Properties & Resorts cannot guarantee against mechanical failure of heating, Hot Tubs, Sauna Steamer Rooms, TV’s, Satellite Receivers, DVD players, WiFi modems, or other appliances. Please report any equipment that is not operating properly. M Vacation Properties & Resorts will make every effort to resolve the problem as quickly as possible. All maintenance repairs must be reported to us between 9 AM and 5 PM. If there is an emergent issue, such as a garage door not closing in the wintertime, call immediately. Select option 3 if calling after hours.
Guest(s) understand and agree that M Vacation Properties & Resorts or its repair people might need access to the cabin for the purpose of making the repair.

Left Items: Red River Real Estate is not responsible for any items left in the home after your departure. Please notify us of your left item and we will make every attempt to locate it and return it to you. All unclaimed items will be donated to our local charities.

*WiFi and Satellite are FREE amenities offered at this property. Due to weather or the occasional technical issue, we cannot guarantee that these services will be available during your stay. If services fail and we are notified, Red River Real Estate will make every attempt to resolve the issue as quickly as possible.

*Oil fryers are strictly prohibited on all of our properties. Violators will be assessed a $500 fine.

*The information provided via our website is believed accurate but not guaranteed. We have made every effort to ensure that all the information is accurate and current; however, the possibility of errors and omissions do exist and M Vacation Properties & Resorts is not held liable for these errors and omissions. If errors are brought to our attention M Vacation Properties & Resorts will make corrections immediately.

Hotels, Lodges, and RV Parks

Payment Policy: M Vacation Properties & Resorts requires a credit card on file to hold your room or RV space. Payments will be collected upon arrival.

Cancellation Policy: Should you need to cancel for any reason (health, work, schedules, weather, etc.), you must do so 24 hours prior to your arrival. If that requirement is not met M Vacation Properties & Resorts will charge one night’s rent.

Pets and No Smoking: Pets are allowed in our lodges and hotels. The nightly pet fee is $15 per night per pet. Pets are allowed at our RV parks at no additional charge, but we do require that you clean up after your pet. If that is not done a $50 clean up fee will be charged.

Occupancy Limit: Occupancy of the room is limited to the number of guests advertised for specific room types (adults and children). This is for safety and guest comfort. If guests bring more people than the occupancy limit, the guest will be upgraded to a larger unit at the guest’s expense. Additional charges may apply. M Vacation Properties & Resorts will not overcrowd rooms and may refuse service with no refund.

Quiet Time: We ask all guests to respect each other and observe Quiet time from 10:00 pm to 8:00 am. We want to provide a peaceful environment and ensure all guests can rest, relax, and enjoy their time here. Guests violating this policy may be asked to leave with no refund.

Cooking: Guests can cook only in cabins and condos which have fully equipped kitchens. Please do not bring crockpots, microwaves, toaster ovens, hot plates, etc. for use in hotel rooms. These rooms are not equipped to handle such appliances.

Damages/Trash Removal: Any damages to the room will be charged to the guest at replacement cost. A cleaning fee of up to $250.00 may be charged to guests who leave a room excessively dirty. We have several trash stations around the park. Guests are required to remove all major trash upon departure.
If M Vacation Properties & Resorts must remove major amounts of trash, there may be a $40 charge for this service.

Lost, Damaged, or Stolen Items: We are not responsible for lost, damaged, or stolen items from your
room, vehicle, or left elsewhere on the property. We ask you to please make sure your valuables are secured.
